Thank you for your interest in the facility. I've attached a track rental FAQ, which lays out - in general terms - what our requirements are.

The type of event that you are looking to produce is certainly one that we host here. Do you have any history at other venues managing these types of events?

Thanks for the response. A few things:

- No experience managing an event like this. Generally, it's a matter of scooping up as many friends to spread the cost and rent the track for a half day or day. Another thing we were interested in is making a short film, possibly on the skidpad. Is it generally acceptable to bring our daily drivers on the track? Do you have any safety check requirements?

- Questions on the pricing. It says there are additional fees. What are those fees and how do they vary? Is that for the insurance? If not, what can I expect for insurance costs (per person or per event) and what does that insurance cover?

- I assume you don't have any open track days where we pay, inspect and drive.

Do you have any safety check requirements? I've attached a blank contract which is very detailed on our requirements. Vehicle requirements are at the end.

- Questions on the pricing. It says there are additional fees. What are those fees and how do they vary? This would be for corner workers and medical services, depending on the day you choose. Is that for the insurance? If not, what can I expect for insurance costs (per person or per event) and what does that insurance cover? You'd have to consult an insurance company for answers on these questions.We do allow folks to purchase insurance from us on a daily rate (see attached), but this is generally if they in special circumstances. If you are local, it may be easier to get together to go over this.

- I assume you don't have any open track days where we pay, inspect and drive. We do not host anything like that. Lots of groups that rent the track provide this, though.

Thanks. We may have to meet at some point (we are in RI so not too far). Additional question: does the $800 insurance cover the entire event or is it based on the number of participants? Does it cover any damage to our vehicles (I would expect not) or just your facility?

That would cover the entire day. Damage to vehicles would be your responsibility. Damage to our facility also not covered, that would be additional should someone impact a guardrail, or something along those lines.

Half-day skidpad:
$1000 plus insurance. So....$1800? Pretty cheap. Unfortunately, he said drones are not allowed but obviously non-aerial photography is permitted. Ugh.

Half-day track:
Tuesday - Thursday, $5,100 for four on-track hours, plus insurance, up to 30 cars permitted on track at once. If we could get 10 or more, this would be fun. Not sure I want to spend more than $500 though. And I don't think I can come up with 10 unless people know other people who would be interested. But I don't personally know 10.

So our only real hope is to get a cheaper price than $800/day for insurance. So here are the requirements from the contract:

9. INSURANCE AND INDEMNITY

A. MANDATORY EVENT LIABILITY AND DRIVER BENEFIT INSURANCE
User shall carry and provide at User’s expense a specialized motorsports general commercial liability insurance policy, and a participant accident policy, and a workers compensation policy, covering the Event and this Agreement, having minimum limits of:

Motorsports General Liability:
$ 5,000,000.00 Combined Single Limit
$ 5,000 000.00 Participant Legal Liability

Participant Accident:
$ 5,000.00 AD&D
$ 5,000.00 Blanket Medical Expense Benefit
$ 75.00 Weekly indemnity for 104 weeks

Statutory Workers Compensation:
$500,000.00 Employers liability

At least thirty (30) days prior to the start of the Event, User must furnish TSMP with Certificates of Insurance on a Standard Accord Form evidencing such coverage. The Certificates shall affirm for each such policy that: (i) it names as Additional Insured’s Thompson International Speedway, LLC, DBA Thompson Speedway Motorsports Park, Raceway Golf Club and Restaurant, Donald R Hoenig, Donald J Hoenig II, Jonathan Donald Hoenig, Joshua Donald Vanada, Scott M. Mayo, New England Racing Fuel and Fast Track Concessions, DBA H&B Inc. and other entities as may subsequently be designated by TSMP, together with their respective affiliates, and their respective officers, directors, stockholders, employees, members, managers, servants and agents, (ii) such policy and the coverage evidenced thereby shall be primary and that any coverage carried by the Additional Insured’s shall be excess insurance; and (iii) the insurer shall not cancel or change the insurance without first giving TSMP at least fourteen (14) days prior notice in writing.

In the event of an injury requiring transport to a medical facility and/or inpatient hospital admission of the injured person, User must notify User’s insurance carrier of the incident within 48 hours of the conclusion of the event and provide written proof to TSMP that notification has occurred.

May not really be worth the hassle, since the most it could probably save is like $400, and per person, that isn't much of the bill.

And yes, you ALSO sign a release/waiver.
